Barb Smith/Theda Mortenson
Correspondence
Information was received from HCBC on the P'Tit Trot Western Riding Program for 5 to 12 year old members. This program was quickly explained by Jodi Bater. Interested members can contact Jodi or HCBC for further information.
President's Report
Jodi informed the meeting that she has received some "Caution, Horses on Road" pamphlets from HCBC. These pamphlets are free and she requested that members take some and post or pass them out where both horse rider's and the general public may see them. Jodi will try and get the local news papers to print an article on this subject in March as it would be more appropriate than now.
The club logo clothing order has not yet been placed. It will be placed later this week. If any members want to place an order, they should contact Jodi as soon as possible.
Treasurer's Report
Barbara Smith made her last Treasurer's Report as Marlee Edgeley will now be taking over the Treasurer's position. The total amount is $3591.67 and is broken down as follows:
Trail Fund - $ 219.98 Bursary Fund - $ 677.85 General Fund - $ 2693.84
Inga Smith/Terry Kinch
The need to increase the amount in the Bursary Fund was discussed at some length. It was generally agreed that the club should not just transfer money from the General Fund but instead should hold some events with the specific intent of increasing the Bursary Fund.
Standing Reports
Work Party - There were no work parties held in December. It was discussed and agreed to wait for another month or two before holding a work party as there will be lots of "blow downs" over the trails between now and then.
Club Rides - There will be no club ride in January. Jodie Bater will host a Poker Ride to benefit the Bursary Fund in February. Ride details listed under Bursary.
CHRCO - No report. Liz Sahlstrom no longer wishes to be a club rep to this organization. It is not known if Hugh Phye still wishes to hold that position. Jodie will check with him. We are looking for club representatives to this organization. If anyone is interested, please notify Jodi.
ESAT - Joe Kinch related that here will be a map, compass and GPS Exercise held on Sunday, 24 Jan. Ready to ride 10:00 AM at Evans Road Gate. Maps will be transmitted electronically and club members are welcome to attend.
- Arrowsmith Search & Rescue is holding a Mock Search on Sunday, 31 Jan. More information will be transmitted once it is received.
Gymkhana - Terry Kinch will stay on as the organizer. They will be held this year each month from April to October.
Library - Mary Denholm will stay on as the club librarian. Liz Sahlstrom has donated a copy of the Instructional Manual from the Livestock Emergency Evacuation Course she attended last fall.
Bursary - Margo Rathburn, Joan Mercer, Carol Wolver and Lori Gray have agreed to stay on the Committee for this year. They will be discussing and bringing forward at a future meeting, a suggested policy concerning an Adult Bursary.
- Jodi Mercer will be hosting a Poker Ride to benefit the Bursary Fund on Sunday, 21 Feb. Ride out is at 11:00 AM from Tiger Lily Farm, Errington Rd. Cost is $10.00 per hand. The ride will be about 2 hours long and will be followed by a bowl of chili.
Concession - Theda Mortenson has agreed to stay on as the Concession Organizer. It is hoped by both Theda and the club members present that her future move will be a local one. She has not yet purchased the new barbecue. $150.00 has been set aside for this purchase.
Clinics - Inga Smith has agreed to stay on as the Clinics Coordinator. What clinics club members wished to have this year was discussed at length. The discussion is summarized as:
- A Steve Rowther clinic was discussed but it was reported that he would not hold a clinic within a 2 hours drive of another of his clinics. Both Duncan and Black Creek are already scheduled to host his clinics this year. Addie Mercer who has completed an instructors apprentice with Steve may be willing hold a clinic for the club;
- Liz Sahlstrom in regards to a clinic about the Livestock Emergency Evacuation Course she recently attended;
- Theresa Hobenshields in regards to a Gymkhana Clinic;
- Jodie Caruthers in regards to a Harmonious Healing Clinic; and
- The possibility of a Doug Mills Clinic was discussed but will not be followed up on as he holds clinics at Debra Contreras' in Qualicum Beach a couple of times a year.
Trail Ride Against Cancer - Sue Sheppard has agreed to stay on as the organizer and coordinator. Barbara Smith agreed to stay on as the trails organizer for this event. Sue stated that she would like to set a date in September as we have not had good attendance when the ride was held earlier in the year. The problem with a date in September is that it would conflict with the ETRA Pledge Ride which is well attended by club members. Terry Kinch will contact ETRA to discuss this and report back at the next meeting.
Toy Ride - No report.
Old Business
1. New Adult Bursary - This is to be created by the current Bursary Committee
2. Club Logo Clothing - Jodi will place order later this week
3. Membership Fees for 2011 - This was discussed at length. The suggestion that most members agreed with was that fees be increased by $5.00 per person (up to $15.00 for seniors and $10.00 for Juniors & Peewees) and $10.00 for a family (up to $35.00). This will be brought up again next month for further discussion.
New Business
1. Non-Rider Members - Jodie has been in contact with both HCBC and Capri Insurance. Both representatives informed her that we can have non-riding members in the club. They would not have to purchase membership in HCBC and it would not affect our insurance policy with Capri. The one condition that must be met is that the non-riding member cannot mount or ride a horse.
2. Joe Kinch brought forward information in regards to the "Just Horsin' Around 2010" Horse Expo being held at Beban Park on 15-16 May 10. Proceeds from this expo will go towards the BC SPCA for equine rescues and maintenance. ESAT will be participating by setting up a booth and possibly conducting a demonstration. Cost of a booth is $100.00 for the 2 days. Theda Mortenson agreed to organize and oversee a club booth outlining all our activities.
Motion - A motion was made by Theda Mortenson and Seconded by Inga Smith for Silver Spur to have a booth at the Just Horsin Around 2010 Horse Expo. Cost would be $100.00.
Passed
